Please review our terms carefully. These guidelines ensure a smooth collaboration
and mutual respect between Freebird Signs and our clients.
General Information
Freebird Sign Services is operated by Keith Baker, an independent signage and graphics specialist based in Banbury, Oxfordshire. All design, production, and installation work is carried out personally unless otherwise agreed in writing.

All quotations are valid for 30 days unless stated otherwise.

Quotes are based on the information, drawings, and specifications provided at the time. Any changes to size, materials, finishes, access, or site conditions may affect the final price.

Additional work requested after approval (design changes, extra items, reprints, or remedial work) will be charged accordingly.

If artwork requires correction or preparation, additional artwork charges may apply.
Quotations & Pricing
-
A deposit (usually 50%) is required to begin production or the 20% on order.
-
Production will only start once artwork is approved in writing.
-
Cancellations after materials have been ordered or production has begun will incur charges for all costs already committed.
-
If installation is booked and the site is not ready, a re‑visit charge may apply.
Orders, Deposits & Cancellations
Clients may request to move an installation date, subject to availability:
-
More than 3 working days notice: No charge.
-
1-3 working days notice: £40 + VAT rescheduling fee.
-
Less than 1 working day's notice or same-day charges: Treated as a cancellation and charged in line with costs already incurred.
Changes to Booked Installation Dates
Site Requirements
Clients must ensure:
-
Safe, clear access to the installation area.
-
Parking or unloading space for the van.
-
Surfaces are clean, dry and suitable for installation.
-
All necessary permissions (landlord, planning, building management) are in place.

Accurate measurements and final approval of artwork prior to production
If the site is not ready or access is restricted, delays or additional visits may be chargeable.
Health & Safety
-
All work is carried out in accordance with UK Health & Safety regulations.

Work may be paused or posponed if conditions are unsafe or unsuitable.
Materials, Production & Artwork
-
Freebird Sign Services produces signage using industry‑standard materials suitable for the intended purpose.
-
Responsibility for the accuracy of client‑supplied artwork, logos, or measurements rests with the client.

If supplied artwork is low‑resolution, incorrect, or unsuitable for production, the client will be advised before proceeding.

Reprints due to client‑supplied errors will be chargeable.
Liability
-
Public liability insurance is in place for installation work.
-
Freebird Sign Services is not responsible for:
Damaged caused by faulty or unsuitable surfaces
Issues arising from incorrect measurements or specifications privided by the client
Fading, wear, or deterioration caused by environmental conditions -
No liability is accepted for indirect or consequential losses.
Payment Terms

Invoices for either the 50% deposit amount or the 20% discounted price will need to be paid before we go into production.

In terms of the 50% choice the remainder will need to be paid within 7 days.
Travel & Expenses
-
Local travel is included unless stated otherwise.
-
Long‑distance travel, overnight stays, parking, tolls, or congestion charges may be added at cost.
Photographs & Portfolio Use

Photographs of completed work may be used for portfolio, website, or social media purposes.
-
Clients may request non‑use of images in writing.
Acceptance of Terms
By placing an order with Freebird Sign Services, the client agrees to these Terms & Conditions.
Privacy Policy - Information Collected
Information may include:

Name and company details
-
Contact information (email, phone, address)
-
Job‑related information (measurements, artwork, specifications)
-
Invoices, payments, and accounting records
Only information necessary to carry out work is collected.
How Information Is Used
Information is used for:

Responding to enquiries

Preparing quotations
-
Producing and installing signage
-
Invoicing and accounting
-
Maintaining business records
Information is never sold or shared unless required by law.
Data Storage & Security

Data is stored securely on password‑protected devices.

Only Keith Baker has access to this information.

Accounting records are retained for the legally required period (usually 6 years).

Emails and messages are kept only as long as necessary
Your Rights
You may request:

A copy of the information held.

Corrections to inaccurate information.

Deletion of information (where legally possible)

Cancellation Policy - Postponements
Cancellations by Freebird Sign Services
Work may be postponed or cancelled only in exceptional circumstances such as:

Unsafe working conditions

Severe weather
-
Illness or emergency
-
Equipment failure outside my control
Clients will be notified as soon as possible and offered the earliest alternative date.
Materials & Third‑Party Costs
If materials or specialist equipment have been pre‑ordered:

Any colours requested by client to be changed will be charged and a non‑refundable cost will be passed on

Supplier cancellation fees will be re‑charged at cost
